The Missed Call Text Back is a safety net. It automatically sends a text message to anyone whose call you miss, immediately starting a conversation and stopping them from "shopping around."

πŸ›‘ Important: Turn Off System Default

To avoid sending two messages to the same person, you must disable the default setting in the main phone system. We want to use the Workflow version instead (because it tracks history and is customizable).

  1. Go to Settings > Phone System.
  2. Click on the Voice tab at the top.
  3. Scroll down to "Missed Call Text Back".
  4. Uncheck the box to disable it.
  5. Click Save.

How the Workflow Works

1. The Trigger The workflow listens for any call status that indicates a "Missed" opportunity:

  • Busy
  • Voicemail
  • No Answer
  • Cancelled

2. The Action It immediately sends a friendly SMS:

"Hi, this is [Clinic Name]. I saw we just missed your call. How can I help?"

3. The Result The customer replies via text, and you can continue the conversation in your Conversations tab when you are free.

πŸ’‘ Advanced: Automating the Reply

The default setup is perfect for getting started. However, if you want to make this smarter, you can teach the system to answer common questions automatically.

Example Scenario: You can change the initial SMS to say:

"Hi, we missed you! Reply with 'Hours' for our open times, or 'Book' to schedule."

How to build the logic:

  1. Add a Wait Step (Wait for Contact Reply).

    Add an If/Else Condition to check the reply text.

    • Condition: Contact Reply > Replied Message > Contains > "Hours".
  2. Add an SMS Action in that branch with your business hours.

    Add another branch for "Book" or "Reschedule".

    • Action: Send an SMS with your JaneApp booking link.
    • Pro Tip: Use the custom value {{custom_values.jane_account_url}}  to automatically pull your link.

Summary

  1. Disable the default Missed Call Text Back in Settings.
