Our ClinicSync system doesn't just copy your contacts; it continuously syncs deep data points from JaneApp to build a complete profile for every patient. This allows you to create powerful filters and highly specific automation.
Note: These fields are automatically updated every day. If you have been using JaneApp for 5 years, we have backfilled 5 years of history into these fields for you.
How to Find These Fields
- Go to the Contacts tab.

Click on More Filters (or Advanced Filters).
Type "ClinicSync" in the search bar.

The Most Important Fields We Track
Here are the key data points we use to power your automations, and how you can use them for manual filtering.
1. Patient History & Activity
ClinicSync Total Number of Visits- What it is: The total count of "Arrived" appointments a patient has had in their lifetime with you.
- How we use it: This is the engine behind our "Review Request" logic (e.g., only ask for a review on Visit #3).

Manual Use: You can filter to find your "Loyal Regulars" (e.g., Visits > 20).
ClinicSync Last Appointment Treatment Name - What it is: The name of the service they most recently received (e.g., "Deep Tissue Massage" or "Initial Assessment").

How we use it: To send specific aftercare instructions or treatment-specific reactivation texts.
ClinicSync Last Appointment Treatment Staff Member Name - What it is: The name of the provider they saw last.
- How we use it: To personalize messages (e.g., "Hi, it's Dr. Smith checking in...").
2. Future Planning (The "Safety Check")
ClinicSync Upcoming Appointment Scheduled-
What it is: A simple Checkbox (Yes/No).
How we use it: This is our primary safety net. Before sending any "Reactivation" or "Come back!" message, we check this field.
- Checked: They have a future booking. (Do not message).
- Unchecked: They have no future booking. (Safe to message).

3. Financial Data (VIP Tracking)
ClinicSync Total Sales Collected-
What it is: The total revenue generated by this patient over their lifetime.
Manual Filter Idea: Find your VIPs.
- Filter:
Total Sales Collected>Greater than>$3000. - Result: A list of your highest-value patients who might deserve a holiday gift or exclusive offer.

💡 Strategy: How to Run a Manual Reactivation Campaign
While our "Reactivation Controller" runs automatically, sometimes you want to manually find people to fill your schedule today.
The "Lost Patient" Filter Recipe: If you want to find patients who haven't visited in a while but aren't "too cold" (e.g., haven't seen them in 6-12 months), use this combination:
- Filter 1:
Upcoming Appointment ScheduledIS Not Checked (Empty).-
Why: We only want people who aren't already on the books.
Filter 2:
ClinicSync Last Visit - Select: Range.
- Date: Pick a range from 1 year ago to 6 months ago.
- Why: You don't want to message someone who hasn't been in for 2+ years (they likely moved on). You want the "warm" leads who just drifted away recently.

Sending the Message (Drip Mode): Once you have your list, select them and click Send SMS.
- ⚠️ Crucial: If you have more than 500 contacts, do not send all at once.
- Use Drip Mode: Select "Drip Mode" and send in batches (e.g., 100 per day). This protects your phone number reputation.
